02 · SPREADSHEETDownload, fill in, check.
The workbook has four clearly labelled sheets: Start here, Events, Venues and Artists. Blank input rows are ready for your information. Fictional examples appear separately in the guidance below.
Download spreadsheet (.xlsx) ↓- Open the workbook and read Start here. Enter your public organisation or provider name and any verified website or calendar link. Keep private contact details out.
- Add each physical venue on Venues. Give it a short reference, such as
hall-main. Add its address or named entrance, locality, full country name, timezone and evidence link. Keep different rooms distinct. - Add one event per row on Events. Choose a permanent event reference and enter the name, full date, evidence link and matching venue reference. Add a time only if it is published. Separate performances or sessions need separate rows; do not expand a multi-day festival into invented daily performances.
- Add confirmed performers on Artists. Use one row per performer for each event. Repeat the event reference for support acts, with their evidence links. Leave this sheet blank if no artists are confirmed. A venue-only submission needs only Venues.
- Send your sheet for review. Save the completed sheet as CSV UTF-8 (.csv). Open Venues, Artists or Promoters, choose Upload Spreadsheet, add the CSV and your contact details, then choose Send for review. Only CSV uploads are accepted, up to 200 KB and 1,000 data rows. Send each completed sheet separately, keeping its matching references.

Keep the column headings. Leave unknown optional cells empty. Keep IDs, dates and times as text so your spreadsheet does not change them. You can attach the whole workbook; if you export CSV, export each completed sheet separately and keep the matching references.
04 · BEFORE YOU SUBMITA few details make all the difference.
Use the real date and time
Include the year. Write dates as YYYY-MM-DD and times in 24-hour format. If only the date is confirmed, leave the time blank and choose Date only. Do not use midnight as a placeholder.
A timezone describes a place, such as Pacific/Auckland. Its UTC offset can change with daylight saving. Your assistant should resolve the offset for the actual date and ask when a repeated clock time is ambiguous.
Identify the physical venue
Supply the name, street address or named site entrance, city or locality, country, timezone and a public evidence link. A postcode or city alone is not an address. Outdoor sites can use a named entrance without an invented house number.
A promoter or festival name may not identify a physical site. Include the actual venue or confirmed room. Map coordinates are optional and need their own verified evidence.
Keep a link to the evidence
Use an official event page, artist tour listing, venue page or an officially linked listing. The event link should support the date and lineup; the venue link should support the identity and address. Different facts may need different pages.
Leave unknown websites, artists and genres blank. Do not infer a genre from an artist’s name or copy a headliner’s genre to everyone on the bill.
Keep the same references
Use your provider’s permanent event ID where available. Otherwise assign a reference and keep it, or retain a stable event page URL. Do not use row numbers or build an ID that you change whenever the date changes.
For corrections, keep the original reference and supply the updated evidence. For a cancellation or postponement, give an authorised CommunitySofu operator the official notice. Removing a spreadsheet row does not cancel an existing event.
See a simple fictional example
Example only — do not submit these details. Example Hall is at 123 Example Street, Auckland, New Zealand, with timezone Pacific/Auckland and a venue evidence link at example.org. Give it the reference hall-main.
For an event there, use your permanent reference show-001, name “Example Band at Example Hall,” date 2027-02-20, time 20:00, meaning Show, and venue reference hall-main. Supply the real event evidence link. For this fictional date, the structured start would be 2027-02-20T20:00:00+13:00.
If the listing gives only the date, keep 2027-02-20, leave the time empty and choose Date only. If it gives doors at 19:00 but no show time, record Doors; do not invent a show time.
What if something is missing or looks duplicated?
Keep the affected row and its evidence. Ask about the missing detail, or report it as unresolved and continue with complete rows. A confidently matched existing venue or artist should be reused. A similar name alone is not enough to merge records.
Saving valid records and fixing a calendar connection are separate tasks. A supplied calendar URL does not mean it has been collected successfully. Technical collection issues belong in Collection work. This public submission inbox is a separate review step before import; it does not change the direct-save policy for existing verified collection.
05 · FOR WEBSITE TEAMSPublishing a structured feed.
A spreadsheet or prompt is enough to start. If you maintain a website or CMS, the event format in the Event Creation Standard can also guide a stable HTTPS JSON feed. Arrange a supported collector or adapter with CommunitySofu first: publishing a JSON file does not register a source, start collection or make it directly compatible with every importer.
Event format and field mapping
The reference document describes an event envelope with formatVersion: "1.0", provider and events. Each event entry has externalId, sourceUrl, an event object, a physical venue object and an artists array. Provider metadata contains name, website and sourceUrl; resolve missing required provider details before publishing that format. Omit generatedAt unless the real generation timestamp is known.
This is a documented exchange format, not a public upload API. The existing record importer uses separate records and relationships; an adapter must map and match them. Venue-only workbook preparation does not require this event envelope.
Required event details are name, startDate, timezone, timeMeaning, city, country and sourceUrl. A new venue needs name, address, city, country, timezone and sourceUrl. Each supplied artist needs name and evidence. The exchange standard is stricter than some existing save operations; validate before adapting.
Optional fields and update rules
Known event extras may include type, website, description, endDate, doorsTime and ticketUrl. Venue extras may include type, website, description, eventsUrl, capacity and ownership. Artist extras may include type, website, city, country, description and tourUrl.
Genres need explicit evidence and genreSourceUrl. Verified coordinates need paired lat/lng, coordinateSource, coordinateProvider and coordinatePrecision (entrance, venue, building, site or address). Preserve accurate attribution and precision. Verification timestamps should reflect actual checks, not be invented by the converter.
Use strict JSON and public HTTP(S) evidence URLs. Prefer HTTPS for feed hosting. Keep IDs stable, retain separately verified relationships and do not interpret absence from a partial feed as cancellation. Internal IDs, publication state and deduplication keys belong to the receiving system. Images, prices, inventory, age restrictions, accessibility and cancellation changes need a separately supported mapping; do not silently promise they will be stored by this format.
